Booking Policy


Effective Date: Monday, August 27, 2025

1. Booking Process:

  • All bookings must be made via our official website, phone, WhatsApp, email, or through approved travel and accommodation platforms.

  • A valid full name, contact number, email address, and ID or passport are required at the time of booking.

  • Bookings are subject to availability and are confirmed upon receipt of a confirmation email or message from Coghlan Boutique Hotel.
    ​

2. Deposit & Payment Policy:​

2.1 For Individual Bookings:

  • A 50% deposit is required to secure the reservation. The remaining balance is payable upon check-in.

2.2 For Group Bookings [5 rooms or more]: 

  • A 70% deposit is required, and the balance must be paid no later than 7 days before arrival.

2.3 Payments can be made via cash [USD], bank transfer, EcoCash, or debit/credit card [Visa/Mastercard]. Payment details will be shared upon request.

3. Cancellation Policy:

3.1 Individual Bookings:

  • Cancellation more than 72 hours before check-in: Full refund of deposit.

  • Cancellation 24–72 hours before check-in: 50% refund of deposit.

  • Cancellation within 24 hours or no-show: No refund.

3.2 Group Bookings:

  • Cancellation more than 7 days before check-in: 75% refund.

  • Cancellation 3–7 days before check-in: 50% refund.

  • Cancellation less than 72 hours or no-show: No refund.

4. Check-In and Check-Out:

  • Check-in: From 1400hrs CAT [GMT+2]

  • Check-out: By 1000hrs CAT [GMT+2]

Early check-in or late check-out is subject to availability and may attract additional charges.

 

5. Modifications to Bookings:

  • Requests to modify booking dates, number of guests, or room types must be made at least 48 hours in advance for individual bookings and 5 days in advance for group bookings.

  • All changes are subject to availability and may affect the final cost.

6. No-Show Policy:

Guests who fail to arrive without prior notice will be charged the full amount of the reservation and forfeit any deposit paid.

7. Children & Extra Beds:

  • Children under 12 years stay free when using existing beds.

  • Extra beds can be provided upon request at an additional charge and are subject to availability.

8. Guest Identification:

  • All guests are required to present a valid national ID or passport upon check-in.

  • Foreign nationals must present a valid passport and, where applicable, visa documentation.
     

9. House Rules Compliance:

  • All guests must adhere to Coghlan Boutique Hotel’s house rules, which include no smoking in rooms, no banging of doors, no loud noise after 2200hrs CAT [GMT+2], and no unregistered visitors in guest rooms.

  • Violation of house rules may result in immediate cancellation of stay without refund.

10. Force Majeure: 
Coghlan Boutique Hotel will not be held liable for cancellations or changes due to events beyond its control [e.g., natural disasters, government restrictions, or power/water outages].​
