Terms of Service

1. Introduction:

These Terms of Service ["Terms"] govern the relationship between you [the "Guest", "you", or "your"] and Coghlan Boutique Hotel ["Coghlan", "we", "us", or "our"] when you book, stay at, or use any of our facilities or services. By accessing our website, making a booking, or staying at our property, you agree to be bound by these Terms. Please read them carefully before proceeding with any reservations or use of our services.​

2. Booking & Reservations:

2.1 Reservation Methods:

You may book through:

  • Our official website

  • Third-party travel agents or booking platforms [e.g., Expedia, Booking.com]

  • Directly via phone, email, or in-person

2.2 Confirmation:

A reservation is only confirmed once:

  • You receive a written or digital confirmation

  • Any required deposit has been received

2.3 Deposit & Payment:

  • A deposit may be required to secure the reservation

  • Full payment is typically required at check-in or as per the booking terms

  • Accepted payment methods: cash [USD], bank transfer, EcoCash, or debit/credit card [Visa/Mastercard]

2.4 Modifications:

Reservation changes are subject to availability and must be communicated at least 48 hours prior to the check-in date.

 

3. Check-In and Check-Out:

  • Check-in time: From 1400hrs CAT [GMT+2]

  • Check-out time: By 1000hrs CAT [GMT+2]

  • Early check-in or late check-out may incur additional charges and must be arranged in advance.

Guests must present a valid photo ID or passport upon check-in.

4. Cancellation & Refund Policy:

4.1 Flexible Rate Bookings:

  • Free cancellation up to 48 hours before check-in

  • Cancellations made less than 48 hours in advance will incur a 50% charge of the booking total

4.2 Non-Refundable Bookings:

  • No refunds for cancellations, no-shows, or early departures

4.3 Refund Method:

Refunds [if applicable] will be processed within 7–14 business days using the original payment method.

5. Guest Conduct & Responsibilities

All guests agree to:

  • Treat other guests, staff, and property with respect

  • Refrain from illegal, disruptive, or damaging behavior

  • Adhere to hotel rules posted in rooms or public areas

  • Use hotel property responsibly and report any damages

You are financially responsible for any intentional or negligent damage caused to the hotel’s property or reputation.

6. Facilities & Services:

6.1 Wi-Fi & Internet:

Wi-Fi is complimentary and intended for general browsing. Heavy downloads or misuse [e.g., illegal streaming] may result in restricted access.

6.2 Housekeeping:

Rooms are cleaned daily. Linen and towels are changed every 2–3 days or upon request.

6.3 Parking:

Free on-site parking is available at the guest’s own risk. The hotel is not liable for theft or damage to vehicles.

7. Safety and Security:

7.1 Surveillance:

Public areas are monitored by CCTV for the safety of guests and staff.[not yet in effect]

7.2 Emergencies:

Emergency exits and procedures are clearly marked. Guests must follow all safety instructions during emergencies.

8. Liability & Disclaimer:

Coghlan Boutique Hotel is not liable for:

  • Loss, theft, or damage of guests’ personal belongings

  • Injuries or accidents occurring due to guest negligence

  • Failures in services caused by factors beyond our control [e.g., power outages, natural disasters]

We recommend securing valuables in provided safes and purchasing travel insurance.

9. Privacy & Data Protection:

We respect your privacy. All guest data is collected, stored, and used in accordance with our Privacy Policy. Your information will not be shared with third parties without consent, unless required by law.

10. Minors & Age Restrictions:

  • Guests under 18 must be accompanied by an adult

  • Children under 12 may stay free of charge when using existing bedding [unless otherwise specified]

11. Pets:

Pets are not allowed unless prior arrangements are made and approved in writing. Service animals are permitted with supporting documentation.

12. Smoking Policy:

Smoking is only permitted in designated outdoor areas. A cleaning fee of USD $100 will be charged for smoking in rooms.


13. Force Majeure:

We are not liable for failure to perform any part of these Terms due to circumstances beyond our control, including acts of God, war, terrorism, pandemics, or government restrictions.

14. Governing Law & Jurisdiction:

These Terms are governed by the laws of the Republic of Zimbabwe. Any disputes shall be resolved by the competent courts of Harare, Zimbabwe.

15. Amendments:

Coghlan Boutique Hotel reserves the right to update or revise these Terms at any time without notice. The current version will always be available on our website.​
